A void should only be performed on payments employees ARE NOT ENTITLED TO RECEIVE. In the case of a lost or damaged check, or a DDA rejection, a net AP check can be cut by your AP Department to avoid any fees or additional work.

PlanSource HCM must be notified in writing of the intent to void payroll documents and provided with all necessary information. The credit for this void will be reflected in the invoice total for the period control in which it is processed. Unless it ‘s a PRIOR quarter void. PRIOR quarter voids will receive a Credit Memo for NET pay ONLY. The team will work with our Technical Team to process the void in the quarter it was originally posted in. Please note: You will be invoiced $150 per amended return for PRIOR quarter voids.

CHECKS/DDAs DRAWN ON PLANSOURCE ACCOUNT

Checks must have a stop payment issued before voiding if a copy of the check to be voided cannot be provided. When the completed form is received, the void will be processed within the limits of your SLA. Direct Deposits will attempt to be recovered from the employee’s account. Per NACHA guidelines, Pullbacks cannot be processed for Account Closed or Suspected Fraud (employees will need to work directly with their banking institution to resolve such matters). a pullback can only be attempted up to 5 business days after the pay date. Once funds are confirmed to have been received, typically 5-7 business days, the Direct Deposit Advice(s) will be voided.

If a client requests DDA void without Pullback, client is responsible for collecting funds from employee. NO CREDIT will be provided by PlanSource. Supplemental Payroll fee will be charged for processing.

CHECKS/DDAs DRAWN ON CLIENT ACCOUNT

Checks drawn on a client bank account should be submitted on the form below and are processed within the guidelines of your SLA. In this case, the client is responsible for processing a stop payment with their bank as necessary.

Direct Deposits drawn from your own account require the client to contact their bank to initiate the withdrawal/pullback. Once your bank confirms the pullback is successful, you may request a void using this form.

If any of your payroll payments are drawn on a PlanSource bank account, all Voids, Pullbacks and DDA Corrections are subject to out of scope fee. For a list of current billable work and fees please visit this link: Common Billables and Fees
